The question: more freedom and flexibility with WordPress
ADXpert's existing website ran on HubSpot, but the platform no longer aligned well with the organization's growing needs. The team encountered limitations, particularly in the areas of flexibility, customization, and content management. ADXpert was therefore looking for a new technical basis with which they could manage their website independently and easily add new features could add. The choice fell on WordPress, due to the freedom to configure the platform fully to the liking.
A major challenge was the extensive knowledge base, which by then consisted of more than 350 articles. All these content had to be transferred to the new website, without losing valuable information, images, or SEO settings. Additionally, ADXpert wanted a user-friendly CMS in which all different types of content were given their own place. From training and services to vacancies, videos, and testimonials: everything had to be easy to find and manage.
The solution: Custom WordPress with Gutenberg and ACF
We developed a completely new WordPress website with a custom theme en custom Gutenberg blocks based on Advanced Custom Fields (ACF). With this, the ADXpert team can build and edit pages independently, without relying on developers. The content blocks are aligned with the different parts of the website and ensure a consistent look and feel. This way, we combine the flexibility of WordPress with the ease of use of a custom-configured CMS.
We also gave the WordPress backend a thorough overhaul. We developed own content types for the knowledge base, training, services, vacancies, videos, and testimonials, among other things. At the same time, we removed unnecessary standard elements from the dashboard so that editors only see what is relevant to them. The result is a quiet and well-organized management environment which aligns with the daily activities of ADXpert.
From HubSpot to WordPress: 350 articles automatically migrated
Manually transferring hundreds of knowledge base articles would have been a major undertaking. Therefore, we developed a own import tool with which we were able to automatically transfer the existing content from HubSpot to WordPress. The tool processes TSV files and transfers not only the articles, but also authors, tags, images, and important SEO metadata. Even the existing HTML was automatically cleaned up, ensuring the content appeared neatly on the new website.
With this approach, we saved ADXpert a significant amount of manual work and were able to execute the migration in a structured manner. Moreover, we ensured that valuable SEO information was preserved. In this way, the extensive knowledge base received a new technical foundation without having to rebuild all existing content.
A smart knowledge base with a focus on ease of use
The knowledge base is an important part of the website and therefore received extra attention. For longer articles, automatically generated a table of contents based on the subheadings. This allows visitors to navigate directly to the topic that interests them. This makes extensive articles much more organized and pleasant to read.
In addition, we developed a smart reading time calculator which takes into account more than just the number of words. Images and tables are also included in the calculation, so that visitors get a realistic indication of the reading time. This information is calculated and stored in advance, so the website does not have to do this again with every visit. Moreover, editors can manually adjust the reading time if necessary.
Smart forms and dynamic content
For the forms on the website, we used Gravity Forms, extended with own custom functionalityThis allows specific form fields to be automatically populated with up-to-date information from the CMS. Think, for example, of a dropdown list with available training courses, services, or vacancies. As soon as ADXpert modifies this information in WordPress, the form is also automatically updated.
Dat prevents double work and ensures that visitors are always shown the right options. The team does not need to manage information in just one place, while the forms automatically move along with the website's content. A relatively small technical addition that makes daily management much easier.
Performance and SEO under the hood
For the frontend, we opted for a modern combination of Vite, TypeScript and Tailwind CSS. With this, we built a fast and efficient website, where unnecessary scripts and heavy components are avoided as much as possible. For example, videos are only loaded when visitors actually want to play them. We also paid attention to accessibility, including clear keyboard navigation and carousels that automatically pause when they are off-screen.
We also developed various custom solutions in the field of SEO. For instance, ADXpert can easily export and import SEO titles in bulk, which saves a significant amount of time when optimizing large volumes of content. Additionally, we enriched the existing Yoast SEO functionality with own Schema.org structured data for specific content types. This provides search engines with additional information about the content and structure of the website.
